Job Introduction

Are you a proactive and highly organised administrator looking to make a real impact within a dynamic and supportive team?

We are seeking a motivated individual to join us as a Business Unit Administrative Assistant as part of our Business Support Administrative Team in Essex. 

You will provide high-level support to the Business Unit Administrator and the Senior Management Team  across a range of vital functions including Operations, Quality, and Service Improvement. This role is key to ensuring the smooth and efficient running of our business unit, helping to drive forward service delivery and improvement.

Based at County Hall, Chelmsford, with flexibility around on-site working depending on service needs, this is an exciting opportunity for someone who thrives in a fast-paced environment, enjoys variety in their day-to-day work, and takes pride in delivering excellent administrative support.

This role may involve travel to other locations in the locality. 

This is a part time role for 30 hours a week, four days a week.

Main Responsibilities

As a Busniess Unit Administrative Assistant you will:

  • Support the management of Standard Operating Procedures (SoPs), policies, and Smartsheets.

  • Monitor and managing the SMT Admin inbox.

  • Organise and supporting meetings (scheduling, agendas, minutes, follow-ups).

  • Act as a point of contact for the SMT, handling calls, emails, and sensitive information.

  • Assist with planning and organising workshops, training, and events.

  • Maintain manual and electronic records in line with HCRG Care Group policies.

  • Gather data and preparing monthly/quarterly reports.

  • Deputise for the Business Unit Administrator during absences.

  • Build strong relationships across internal teams and external agencies.

  • Promote quality improvement and maintaining up-to-date training and skills.

  • Support the Business Resources Team when required.

The Ideal Candidate

Essential:

  • GCSE English and Maths (Grade C/4 or above) or equivalent

  • Strong verbal and written communication skills at all levels

  • Ability to prioritise and manage workload independently and alongside others

  • Proficient in Microsoft Office with standard keyboard skills

  • A flexible team player with strong time management and organisational skills

  • Good attention to detail and a commitment to excellent customer care

  • Self-motivated, reliable, and able to remain calm in busy environmentS

Desirable:

  • Previous administrative experience

  • NVQ Level 3 or equivalent experience

  • Background in Children’s Services or the NHS

  • Understanding of safeguarding principles and handling sensitive information

  • Experience with database creation and management

This role may involve travel to other locations in the locality, meaning ability to travel when needed would be required.
